When a PDF table lands in Excel with shifted columns, split rows, or numbers in the wrong cells, it is usually because the source only looks like a table. A PDF records where marks sit on a page; it does not always retain the row-and-column relationships Excel needs.
What the converter is trying to recover
A clean table exported from a spreadsheet has consistent text positions, column boundaries, and often gridlines. That gives extraction a reliable structure to rebuild. A scan, a screenshot, or a report with merged headings has to be interpreted from pixels or uneven spacing instead.
- Best results: digital PDFs exported from Excel, accounting systems, or reports with regular columns.
- Review carefully: multi-line cells, merged headers, tables split over page breaks, and totals placed outside the grid.
- OCR first: photos and scans, because they contain no selectable table text at all.
Fix the source of the error, not every cell
Open the original PDF beside the workbook. If an entire column shifted, correct the affected range and check the next page for the same pattern. If words ran together because the source has no clear columns, rebuilding that one table manually can be safer than trying several conversions.
For a scanned table, run OCR first, then convert. OCR improves the text layer, but it does not guarantee perfect spreadsheet structure; amounts, dates, minus signs, and decimal separators deserve a deliberate check.
Use the right destination for the job
Choose Excel when you need calculations, filtering, or reusable rows. Choose Word if you need to edit the surrounding report and the table is mostly for reading. If the table only needs to be quoted, copying a verified range may be faster than rebuilding a whole workbook.
A quick quality check before you trust the numbers
- Compare the row count and column headers with the original.
- Spot-check the first, middle, and last row on every page.
- Check totals independently; a correct-looking column can still have one shifted decimal or missing minus sign.
- Format dates and numbers only after confirming the imported values are correct.
