How to OCR a Scanned PDF So You Can Search and Copy the Text
By the FreePDF team ·
A scanned PDF is really just a photo of a page saved with a .pdf extension. You can't search it, you can't select a sentence to copy, and screen readers can't read it. OCR (optical character recognition) fixes that by reading the text in the image and adding it back in behind the scenes.
What OCR actually changes
The scan itself is untouched — same layout, same handwriting, same coffee stain if there is one. What's added is an invisible layer of real, selectable text sitting exactly behind the words in the image, so the page looks identical but now behaves like a normal document.
Running OCR
- Open the OCR PDF tool and upload your scanned file.
- The text in each page is recognised and added as a searchable layer underneath.
- Download the searchable PDF.
When you actually need this
- Searching a long scanned contract or report for one clause instead of reading every page.
- Copying a paragraph out of a scan instead of retyping it by hand.
- Making an old scanned document accessible to screen readers.
- Preparing a scan for table extraction. PDF to Excel only works once there's real text to read.
Getting an accurate result
OCR accuracy tracks scan quality directly:
- A clear, straight, well-lit scan reads almost perfectly.
- Low-resolution photos, heavy skew, or handwriting are harder to recognise reliably — re-scan flat and well-lit if the first pass looks off.
- It reads English only. Accented letters in other languages often come out wrong, and non-Latin scripts aren't recognised.
Common questions
Will the page look different afterwards?
No. The original image is left exactly as it was — OCR adds an invisible text layer behind it, it doesn't redraw or replace the page.
Can I then convert the file to Word or Excel?
Excel, yes: PDF to Excel can read the OCR layer, though you should check the columns. Word is the exception. PDF to Word ignores the hidden OCR text and gives you pictures of the pages, so for a scan use PDF to Text with its Run OCR option and paste the result into Word instead.
