How to Convert a PDF to Excel Without Breaking the Tables

A PDF is a fine way to share a table, but a miserable one to work with. If you need to sum a column, filter rows, or just avoid retyping fifty rows of numbers, you want that table back in a spreadsheet, not locked inside a flattened page.

What converts well

Table extraction reads structure, not pixels, so the result depends on how the table was built in the first place:

  • PDFs exported from Excel, Google Sheets, or accounting software keep clean rows and columns — these convert almost perfectly.
  • Tables with visible gridlines and consistent spacing are easy to detect, even across several pages.
  • Scanned tables (a photo or printout) have no underlying structure to read — run those through OCR first, then convert.

Converting the file

  1. Open the PDF to Excel tool and upload your PDF.
  2. Each table it detects is rebuilt as rows and columns on its own sheet.
  3. Download the .xlsx workbook and open it in Excel, Numbers, or Google Sheets.

Going the other way

Starting from a spreadsheet and need a PDF that won't shift columns on someone else's screen? That's the same conversion in reverse.

Getting a clean result

  • A table split across a page break can come out as two separate sheets — worth a quick check after conversion.
  • Merged cells and multi-row headers are the most common thing to double-check afterwards, since spreadsheets don't have a direct equivalent.
  • If a table only partly extracts, the source likely mixes real text with an image, such as a screenshot pasted into a report — OCR the file first.

Common questions

How are tables placed in the workbook?

Each table that's detected lands on its own sheet, named for the page it came from, so a multi-table document doesn't get jumbled onto one sheet.

Does it work on scanned PDFs?

Not on its own — a scan has no real table data to read, only pixels. Run it through OCR first to add a text layer, then convert to Excel.
